The most time consuming aspect of implementing a quality management system is getting started. We developed the Rajan Business System (RBS) based on the requirements of the ISO 9001 and Law 9000 quality standards to provide a structured approach for organisations that wish to implement a quality system but are restricted by budget constraints. The RBS consists of ten Stages and you only pay for each Stage when you are ready to proceed. Consulting time consists of monitoring the minutes of your meetings and providing guidance or recommendations where applicable. The consulting cost is therefore significantly reduced.
When you purchase the RBS, we begin with a customisation process so that you receive a Business Manual consisting of quality policies and procedures that already meet your basic requirements. The manual is complemented by a number of forms and other templates that are provided with your Stage 1 implementation booklet. Meeting agendas and guidelines assist a team of your people to review the policies and procedures and consider others that may need to be added. When you have completed the fundamentals to establish your quality management system, you request and pay for Stage 2.
Stage 2 includes a range of policies that are either required by quality standards or are common to most environments. Each meeting will review and approve a policy, although some areas may require additional meetings in your organisation. In smaller organisations, a meeting may cover more than one policy and both options are catered for in the RBS. Your team will send a copy of the minutes for each meeting to your Consultant, who will monitor progress and advise the team if they have missed a required component or suggest some options if they seem to be discussing items in too much detail. The remaining stages cover your procedures and the quality controls you put in place to maintain the system.
For organisations that simply want to document their policies and procedures, each Stage of the RBS is coded so that the requirements for quality certification can be included or excluded. Procedures specific to quality certification are detailed in Stage 10, with clauses of the standard reproduced (under licence from SAI Global Limited) in the meeting guidelines of all stages if certification is planned. Each Stage comes with an Action List to be completed and forwarded to us with your payment for the next Stage. Meeting agendas are provided with every Stage and draft minutes with the first three Stages. After that, your team members will use the template provided to generate the minutes of meetings.
Each Stage may be completed in a week, fortnight, month, or any period that fits your budget, time and resources. You may engage a Consultant to assist with one or more areas of the implementation process at our competitive rates if required. Your team may read the implementation guide of a Stage (such as Human Resources) and decide to accept it without changes in one quick meeting. Other Stages may require a number of meetings if you have multiple ways of completing tasks or work areas that have never been documented. For those organisations wanting to attain quality certification, we would normally train at least one of your team members to perform an internal audit and assist your management team to review policy objectives and the performance of the implementation team.
